Q1 What were the challenges this client organisation was facing and what are the key solutions Proteus has provided?
The majority of their core business processes were run on the back of spreadsheets. However, the spreadsheets had become so complex that only senior staff were able to work with them. Moreover, the data within the spreadsheets was siloed, which meant that it had to be duplicated in other systems for accounting and management reporting. These problems exposed them to a higher likelihood of error, a lack of control and ineffective use of their resources. Q2 How has Proteus supported the integration of this client’s existing software infrastructure?
We started with the basics and discussed the client’s desired outcomes for their business processes and Proteus was able to map most of these workflows out-of-the-box. By integrating with other systems for finance and sales, we were able to remove the duplication of data and provide the client with a single source of truth. Proteus’ provision of a single source of truth is truly game-changing when it comes to project management and control.
Q3 How has Proteus’ dynamic project dashboard helped your client overcome their challenges with controlling project data?
When tracking time and cost against the baseline, the metrics used may differ depending on the project. Our dynamic project dashboard lets our client monitor what is most important to each of their respective projects. Moreover, the consistency offered by the metrics used has allowed our client to generate more reliable management reports.
Q4 Can you elaborate more on how your client uses project progress data and real-time performance data to help them make better-informed decisions?
Projects are incredibly dynamic and there is almost not a day that goes by without changes being made. All the data in Proteus is gathered in real-time, enabling the project managers to be better equipped in terms of assessing progress on tasks and deciding what to prioritise to ensure that the project runs according to plan and stays within its budget.
Q5 To what extent has Proteus been able to reduce the amount of time and effort spent on admin tasks (e.g. planning team resourcing, project planning, project invoicing etc)
Proteus’ user-friendly interface has helped our client’s user group quickly adapt to the system and they have significantly benefited from the features and functionality that Proteus offers. Previously, tasks such as uncovering the status and costs of the project took them multiple days a month to do, whereas now it takes less than an hour a week. This has freed up precious time for more meaningful tasks like stakeholder management, client engagement and continuous improvement.
