Invoicing 2.0
Our team has been working to make some core developments to our Invoicing system, and we have now launched Invoicing 2.0. This brings with it a brand new interface which is quicker to use and more flexible and user friendly.
We have reworked the way in which reimbursable projects process their timesheets. They can now quickly and easily be invoiced by individual Work Package. This means the creator of the invoice is able to select timesheets for each Work Package across a specific date range. Proteus will automatically attach the timesheet report, saving the creator significant time as there can be hundreds of invoices created monthly.
Credit Functionality
Alongside our invoicing module upgrade we have improved the Credit Invoice functionality. This allows you to seamlessly manage your full invoicing and financial troubleshooting workflow within Proteus.
Currency Conversion Enhancements
We have expanded the currency conversion functionality. This system enhancement encompasses all aspects of currency throughout the system, including, but not restricted to:
- Cost Origins
- Contracts & Rate Tables
- Proposals
- Projects & Variations
- Project Plans
- Reporting
- Exports
- Add-in
- Exports to external systems
- Imports
Recall Purchase Requisition
Proteus previously had a workflow where the initial creator of a purchase requisition could recall the form and return it to a draft state. However this was restricted to only some aspects of the purchase requisition form. We have expanded this offering to every stage in the form, giving our clients a lot more flexibility.
Withholding Tax
We have introduced a new tax type called “Withholding Tax”, which is the opposite of normal tax where the buyer pays the tax instead of the seller.
This work has also improved the way taxes are applied to projects and has made the tax process easier by automatically identifying the correct tax rate and tax label on a per-office basis. This means users no longer need to search for it manually.
Invoice Values Excluding Tax
Project managers are responsible for monitoring and controlling projects, excluding tax considerations. Taxes are applied solely at the invoicing stage for accounting purposes, ensuring compliance and facilitating payments. However, since tax calculations do not impact the project itself or its performance we have identified areas of Proteus where taxes should be excluded from project-related financial tracking. While tax attribution will remain within invoices as required, this does not affect core project management processes.
Companies Module 2.0
Our Companies module has been upgraded into our new system design and architecture. This means your companies index page has improved sorting and filtering. This includes the ability to resize the different data cells on screen, hide and reorder table columns, as well as a more comprehensive filtering system.
Project Resources in Variations
Previously, when creating a variation within Proteus, you could not edit the work hour builder or add more labour from project resources, you could only do this by selecting rate tables.
We have now created a solution within the variations feature that allows you to add and edit the team resource directly. This may sound like a small change, but has greatly improved the way in which variations can be used.
Automatic Timesheet Closure
Most companies using Proteus have strict control over the time charged to the clients and, therefore, their team’s timesheets need to be submitted in a timely manner. To assist project managers, we have created an automatic timesheet locking functionality.
To ensure that all of the timesheets are submitted prior to important deadlines, the company can set the number of hours from the end of the week (Friday at midnight), to control when the timesheets for that previous week will automatically get locked.
If timesheets have not been filled in, submitted, or have been done incorrectly, the company administrator can unlock the timesheet for a specific week per user. The user’s timesheets are then ‘unlocked’ and available to edit. The system tracks the expiry of the unlocked week, then relocks it 24 hours after it was unlocked.
