Yes. Proteus suits consultancies and project-based businesses that follow a project work cycle of opportunity evaluation, proposal, delivery, invoicing and closeout. You can sell manhours, software, hardware, or whatever you deliver, and terminology can be customised to your industry and company practices.
Proteus shares some features with other project management tools, such as cost control, but it combines capabilities in one interface that others do not, including the Opportunities go / no-go feature. It is significantly more affordable than large enterprise solutions, includes bespoke development services, and offers one-on-one support from real people rather than relying only on automation.
Yes. Proteus.AI lets anyone ask a question in plain English and get back a dashboard, a report or a straight export. The Proteus MCP Server connects Claude, ChatGPT or the AI agent your team already uses to your live Proteus data.
Getting started
New companies contact the customer success team through the contact page at xergy.com. The team creates your account and helps with startup. Setup needs no IT or developer help, but you will spend some time configuring the Admin Console to match your company structure. Enterprise clients often work with the team to customise Proteus for their operations.
Yes. Proteus offers commitment-free demos tailored to your needs. Request one through the contact page or the Request a Demo page.
No programmer is needed. Contact customer success to create your company account, set up your details in the Admin Console, then invite your team. You can start quickly with default settings, or invest more time in setup for greater value. Proteus uses the data you enter as the basis of every record in Opportunities, Proposals and Projects. Free onboarding with specialist support is available, and so is a free trial.
No. Proteus was designed so you can get started without a programmer. Configuring the Admin Console to match your company structure is described as very intuitive and needs no IT expertise. Product experts can help you configure it, at success@xergy.com.
Yes. Bulk upload lets you load up to 1000 entries at once from a spreadsheet template. It also supports work breakdown structure data with unlimited work packages, so it suits large, complex projects. To bring in existing CRM or finance data instead, Proteus offers API and custom integration options through its integration partner.
Pricing and plans
Proteus offers enterprise packages and flexible pricing. The team works with you to deliver a solution built around your specific needs.
There are no standard setup fees. If you request significant customisation of existing workflows, such as specific integrations or functionality, an implementation fee applies. It depends on the number of API endpoints, user count, training needs and any special requirements.
No. Proteus works for a single user and for organisations of more than 5,000 people. Setup takes a few minutes for an individual and a few days for a multinational, and the core functionality is the same at every scale.
Yes. You can increase or decrease your user count at any time in the Admin Console. You can also move from monthly to annual billing and get 2 months free. Refunds are not issued for plan changes.
Security and integrations
Proteus takes regular data backups and audits, and engages one of the world's leading security firms to regularly attempt to hack its systems and find vulnerabilities. Proteus is ISO 27001 certified, the international standard for information security. Contact the team for more detail on data handling.
In the last few years, we’ve all heard enough about General Data Protection Regulation (GDPR) to last us a lifetime so we will keep it simple: yes Proteus is GDPR compliant. By signing up for a Proteus account you give consent for us to process your data. Processing data means we will store it legally and manage it as a part of our service. Sometimes we analyse anonymised data to learn generalised usage patterns: this is never at an individual level. We will never share your data externally. We have no intention of bombarding you with unwanted emails and notifications and you can opt-out of marketing messages at any time. Please read our Privacy Policy if you have the stamina.
Yes. Proteus integrates with Microsoft 365 and Google Drive for document management, with edits syncing across platforms. Configurable APIs for Xero, Salesforce, Workday and similar services need no developer. For other software, such as SAP, HubSpot or Bamboo, the bespoke solutions team can build custom integrations at additional cost.
Support and how-to
Live support runs 9am to 6pm, Monday to Friday. Reach the team through the messenger in the bottom right of the Proteus app or website, or submit a support ticket. All clients get free onboarding from project management professionals and product experts, and the Helpdesk has a full library of setup and usage articles.
Organisations commonly use seven approaches: 1. Admin charge: divide total support costs by available billable hours to create an overhead rate. 2. Non-billable work packages: budget around 10% of project cost for internal support tasks. 3. Internal projects: track non-billable hours in a separate project by work type and department. 4. Blended rates: fold overhead into the standard hourly rate. 5. Project-level overhead: apply a standard 10 to 15% of direct costs to every project. 6. Charge-back model: support teams invoice projects for services rendered. 7. Value-based estimation: budget expected support costs upfront for repeatable tasks. Many organisations combine methods based on project size and complexity.
